Licensing
This article will help you assign From Visuals licenses in Power BI.
First, who purchased the licenses?
- If the tenant admin purchases the licenses, then any License Admin or User Admin within the organization can manage them.
- If an individual user (not an admin) purchases the licenses, then only that specific person (the purchaser) can manage the licenses.
Assigning Licenses via Microsoft 365 Admin Center:

Navigate to Licenses
- Access the Microsoft 365 admin center at admin.microsoft.com.
- From the left-hand menu, select Billing > Licenses.

Select the Visual
- Identify and select the custom visual for which you intend to assign licenses.

Assign Licenses
- Click on Assign Licenses and choose the user(s) or groups to whom you wish to assign the licenses.
Group-Based Licensing
For efficient license assignment to larger teams or departments, Power BI supports group-based licensing. By leveraging security groups and mail-enabled security groups, admins can grant access to custom visuals more efficiently.

Unassigning Licenses
To revoke a license, select the user or group in the admin center and click on Unassign licenses.

1. Activation Timeframe
After assigning a license in the Microsoft 365 Admin Center, it typically becomes active within a few minutes. To expedite access:
- Power BI Service: Refresh the report by pressing
F5
. - Power BI Desktop: Close and reopen the application.
- If the license isn't active immediately, allow up to five minutes and try again.

2. Adjusting License Quantity (Individual plan)
If you need to change the number of Individual licenses, you can update your existing subscription through the Admin Portal. To adjust the number of licenses:
- In the admin center, navigate to Billing > Your products > Prodcuts.
- Locate and select the subscription you wish to manage.
- Under Settings & actions, choose Buy more licenses or Remove licenses.
3. Subscription Cancellation
To cancel a subscription:
- In the admin center, navigate to Billing > Your products > Prodcuts.
- Locate and select the subscription you wish to manage.
- Under Settings & actions, choose Cancel subscription.
4. Refund Policy
A full refund is available if you cancel your subscription within seven days of purchase. Refunds aren't provided for cancellations after this period. For refund-related inquiries, contact Microsoft support.
